What is a proforma invoice?
A proforma invoice is a preliminary bill sent before a sale is complete. It tells the buyer exactly what they'll be charged so they can approve the purchase, arrange payment or a deposit, or apply for an import license. It is not a demand for payment and is usually not recorded as a sale.
What to include
- The words "Proforma Invoice" and a reference number
- Seller and buyer details, plus ship-to address
- A description, quantity and unit price for each item
- Shipping cost, tax and the total amount
- Payment terms and how long the offer is valid
Proforma vs. commercial invoice
The proforma comes first, before goods ship. The commercial invoice is the final bill that travels with the shipment and is used by customs. Requirements differ by country — check with your freight forwarder or customs broker.
