VAT invoice template for UK businesses
Set the VAT rate for each line — standard 20%, reduced 5% or zero — and the VAT totals are worked out for you, rate by rate.
Template only. This tool creates PDF invoices; it is not an e-invoicing system and does not guarantee compliance with UK VAT tax or invoicing rules. Check requirements with your accountant or HMRC.
Fill in your invoice
What a full VAT invoice must show
- A unique, sequential invoice number
- Your business name, address and VAT registration number
- The invoice date and, if different, the time of supply (tax point)
- The customer's name or trading name and address
- A description of the goods or services, with quantity, unit price excluding VAT and the VAT rate for each
- Any discount, the total excluding VAT, the total VAT charged and the total including VAT
UK VAT rates
The standard rate is 20%, the reduced rate is 5% (for example some energy and children's car seats) and many items are zero-rated (most food, books, children's clothes). Some supplies are exempt. Check HMRC guidance for your goods or services — rates are entered per line, so mixed invoices work.
For retail sales of £250 or less including VAT you can issue a simplified VAT invoice, but a full invoice like this one is always acceptable.
Questions
How are VAT totals calculated?
Each line uses its own rate. VAT is grouped by rate and shown as separate lines (VAT 20%, VAT 5%) above the total. Any discount is applied before VAT.
Do I need my customer's VAT number?
Not for most UK sales, but add it if you have it — it's useful for B2B invoices and required for some cross-border cases.
Is my data uploaded anywhere?
No. The invoice is built and turned into a PDF in your browser. Your details are saved only on this device.
