- The client's name, billing address and the job or project address
- What you delivered — project name, deliverables or hours worked
- Your rate (hourly, daily or fixed) and any agreed extras
- When usage rights or ownership transfer, if relevant
- Subtotal, tax (if you charge it) and the balance due
- Payment terms, due date and how the client can pay
How freelance businesses usually bill
Freelancers typically bill a fixed project fee, an hourly or day rate, or a monthly retainer. For bigger projects, ask for a deposit (often 30–50%) before you start and invoice the balance on delivery.
Clear line items and a firm due date are the two things that get freelancers paid fastest.
Questions
Should I charge sales tax as a freelancer?
It depends on what you sell and where. Many services aren't taxable in the US, but rules vary by state and country — check locally. Leave the tax field empty if you don't charge it.
How do I bill hourly work?
Use one line per task or week, put the hours in Qty and your hourly rate in Rate. See also our hourly invoice template.
