What to include on a trucking invoice

  • Your company name, MC and DOT numbers
  • Broker or shipper name and billing address
  • Load number, BOL number, pickup and delivery locations and dates
  • Linehaul rate, fuel surcharge and accessorials (detention, layover, lumper)
  • Total due, payment terms and remit-to details

How trucking businesses usually bill

Freight is usually billed per load (flat rate) or per mile, plus a fuel surcharge and accessorial charges. Brokers expect the rate confirmation, BOL and proof of delivery with the invoice.

Many owner-operators use factoring companies — if so, put the factoring company's remit-to details in Notes.

Questions

What should I attach?

Rate confirmation, signed bill of lading and proof of delivery — most brokers won't pay without them.

How do I bill detention?

Add a line with the billable hours in Qty and your hourly detention rate in Rate.
