What to include on a daycare invoice

  • Provider name, address and phone; your provider tax ID if parents need it for tax credits
  • Parent or guardian name and the child's name
  • The care period (week or month)
  • Tuition plus extras such as late pickups, meals or trips
  • Due date and accepted payment methods

How daycare businesses usually bill

Childcare is typically billed weekly or monthly in advance, at a flat tuition rate. Late pickups, registration fees and activities are added as separate lines.

Parents often need receipts with your tax ID to claim dependent-care credits, so keep those details on the invoice.

Questions

Do parents need my tax ID?

In the US, parents claiming the Child and Dependent Care Credit need the provider's name, address and taxpayer ID. Add it in the Tax ID field.

Weekly or monthly?

Either — use one line per week or a single monthly tuition line.
